Academic Dean, Responsibilities and Timeline

The responsible Academic Dean has the following Program Review responsibilities:

Year 1 Fall Sept 10         
  • Orient the Program Faculty to the purpose and format of the review process, as well as their responsibilities for the review, in consultation with the Office of Institutional Effectiveness.
  Oct 1
  • Receive from the Program Faculty recommendations for membership on the Program Review Evaluation Team, through the department chair, to the Academic Dean following guidelines stated elsewhere on this web site. At least two individuals must be nominated for each Review Team position; all potential and real conflicts of interest for each nominated individual must be identified.
  Nov 1
  • The Academic Dean finalizes the Review Team membership and notifies the Program Faculty of the approved membership. The Academic Dean and Chair(s) confirm participation with each individual on the Program Review Evaluation Team and finalize on-campus visit logistics (travel, meeting times, rooms, etc). The Academic Dean and Chair(s) forward to the Program Faculty the visit calendar and meeting schedule of the Program Review Evaluation Team.
  Nov 15
  •  Receive from the Program Faculty the following documents for review and approval:
    • 25-30 page program self-study (exclusive of appendices) which follows a prescribed format,
    • 3-5 page executive summary which provides a brief description of the program, faculty, staff, students and support; student data provided by Institutional Research are included as an appendix to this document
    • all other relevant program review documents.
  Dec 15
  • Academic Dean approves the self-study documents and notifies the Program Faculty of the status of these documents.
Year 1
Spring
Jan 30
  • The Academic Dean and Chair(s) contact the approved Program Review Evaluation Team members to:
    • confirm the participation of each member
    • finalize site visit dates and travel arrangements, and
    • send self-study materials (see sample supplemental materials 1-5)
    The Academic Dean, in consultation with the Office of Institutional Effectiveness, orients the Review Team members to their role and responsibilities with regard to their on-campus visit and their report of findings.
  Mar 15
  • Participate in the site team evaluation process, as needed.
  Apr 1
  • Receive a copy of the report from the Program Review Evaluation Team.
  Apr 15
  • Receive, from the Program Faculty, the Faculty Response to the Program Review report.
  May 1
  • Prepare a 1 - 2 page response to both the Program Review Evaluation Team report and the Program Faculty Response report. Forward this response to the Program Faculty as well as to the Office of Institutional Effectiveness. Written narrative should include the following:
    • respond to the Program Review Evaluation Team Review
    • respond to the Faculty Response
    • address continued areas of concern (when applicable) that were not included in team review
    • identify relationship to college mission and goals

  • With assistance from the Office of Institutional Effectiveness ensure that the following documents are available to the Office of Academic Affairs:
    • executive summary of the self-study
    • Review Team report
    • Program Faculty response
    • Dean's response
  As scheduled
  • Attend the Program Review Standing Committee meeting and answer questions from the Committee, as needed.
  When available
  • Review the institutional response to the program review which is prepared by the Provost.
